Title: Office Coordinator
FLSA Status: Non-exempt
Reports To: Executive Administrator and Board Liaison
Objective
This position provides administrative and operational support to the Tampa Bay Chamber and is required to be in the Tampa Bay Chamber office full time. Hybrid/remote is not offered for this role.
Responsibilities
- Answer the Chamber’s main telephone line and direct calls appropriately.
- Greet visitors and manage the front reception desk.
- Maintain office and breakroom supplies (inventory, ordering, restocking for general office and in-house events).
- Prepare meeting rooms, including setup of tables, chairs, printed materials, and technology.
- Manage the AV equipment checkout process (event laptops, chargers, cords, cameras, etc.).
- Serve as the primary office contact for building management (conference room reservations, maintenance, HVAC, and general communications).
- Prepare and distribute check logs.
- Provide administrative support to the Events, Finance, Development, and Membership departments, as well as the Executive Administrator.
- Provide staff support for in-house events and off-site signature events (5 times a year).
- Create and distribute Office Support and Event Support schedules.
- Manage incoming and outgoing mail; prepare correspondence for Executive Leadership.
- Process Certificates of Origin for Chamber members and the public.
- Perform other duties as assigned.
Specifications
- Proficient in Microsoft Office Suite.
- Ability and confidence to communicate effectively with members and volunteers.
- Ability to conduct oneself in a professional manner.
- Flexible and adaptable in a fast-paced, changing environment.
- Capable of performing job functions with minimal daily supervision.

- Ensure timely, efficient, and professional support to Chamber staff and volunteers. Respond to requests with a friendly, engaged attitude.
- Foster a collaborative and respectful working environment with all Chamber staff and volunteers.
- Uphold the Chamber’s high service standards by delivering proactive, high-quality assistance to members, visitors, and partners.
